Best Garage Management Software UK: 7 Systems Ranked for 2026

An honest ranking for independent garages, MOT stations and mobile mechanics, including the cases where you should pick a competitor over us

For most UK independent garages, the best garage management software is one connected system that runs the diary, job cards, MOT reminders, invoicing and parts stock without charging per user. Below we rank seven systems: My Garage CRM, Garage Hive, TechMan, Autowork Online, GDS, MotaSoft Virtual Garage Manager and Dragon2000. For each one you get who it suits, what it costs, what to watch for and a plain verdict.

The short answer

The Best Garage Management Software for UK Garages in 2026, Ranked

Seven systems, ranked on how well they run a UK independent workshop end to end, what they really cost once every fee is counted, and how quickly a garage can be live on them. Detailed reviews follow further down.

Who wrote this and why you should still trust it. This guide is written by the team that builds My Garage CRM. We have ranked our own system first, as every vendor comparison does, so judge us on the detail: each competitor's genuine strengths are set out in plain terms, we name the garages that should choose them instead of us, and every price carries the date it was checked. Nothing on this page is paid placement.

How We Ranked the Best Garage Management Software

Most "best garage software" lists are a feature checklist with ticks in every box. A tick tells you a module exists, not whether it works for a three-bay garage with one person on the desk. These are the six tests we actually applied.

1. The core workshop flow

Does a booking become a job card, pull parts from stock and turn into a VAT invoice without anyone re-typing it? Systems that break that chain, or need a bolt-on to complete it, lose marks.

2. Total cost, not the headline price

Per-user fees, setup and data-import charges, SMS bundles, technical-data subscriptions and annual contracts all count. We looked for the price a real garage pays in month six, not the one on the banner.

3. Built for UK garages

DVLA registration lookup, MOT expiry and advisory tracking, VAT-correct invoicing and UK phone and SMS. US and European platforms with no MOT workflow were excluded for that reason.

4. Setup, migration and support

How long until the garage is live, whether moving your existing customers and vehicles is charged, and whether a person answers the phone in UK working hours.

5. Works on any device, any site

Browser-based access for the counter, the ramp and the van, plus proper multi-site control for groups. Anything tied to a single desktop PC was marked down.

6. Automation and AI

Reminders that fire on their own, review requests, deferred-work follow-ups, and the newer tools such as an AI receptionist that answers the phone or an AI fault-finder that helps a technician diagnose a job.

The detail

The 7 Best Garage Management Systems in the UK, Reviewed

Each review covers what the system is, who it suits, the strengths that earned its place, the things to watch for, and a verdict you can act on.

2. Garage Hive

Best for larger workshops that want accounting built in

Garage Hive is a cloud garage management system built on Microsoft Dynamics 365 Business Central, which means a full accounting ledger sits underneath the workshop tools rather than being bolted on. It covers estimates and job sheets, scheduling, inventory, reporting, Autodata integration and accountancy integrations, and it has one of the most active user communities in the UK garage trade.

That depth is the point and the price. For a workshop with five or more staff, a stock room worth managing properly and an accounts function that wants everything in one ledger, Garage Hive does things a lighter system cannot. For a two-bay independent it can feel like a lot of system to learn and pay for.

PricingFrom around £145 a month; the vendor publishes a starting price only and asks you to contact sales for the full breakdown
Free trialNot listed
Pricing modelSubscription on the Business Central platform
Runs onBrowser, multi-location friendly

Strengths

  • Accounting ledger built in via Business Central, plus accountancy integrations
  • Autodata integration and strong stock control
  • Large, active user community and unlimited phone and email support
  • Suits multi-site groups and larger teams

Watch out for

  • Heavier to set up and learn than a small garage needs
  • Only a starting price is published; check whether Business Central user licences add to it
  • No free trial listed, so you commit before you have used it

Verdict: the right choice for an established, larger workshop that wants the accounts inside the system and has someone to run it. Choose My Garage CRM instead if you want to be live in an afternoon on a flat price with a trial first.

3. TechMan

Best for established high-volume workshops

TechMan is one of the longest-established garage management systems in the UK and is built around the day-to-day pressures of a busy, multi-technician workshop. Its reporting is strong, the purchase order and returns process is well regarded by users, technicians get their own apps, and vehicle health checks and a courtesy car diary are part of the package. Third-party listings also show Autodata and Xero links.

It is a system you grow into. Users consistently say that the more you put into TechMan the more you get out, which is another way of saying it rewards a workshop with the volume and the people to use it fully. Reviews also mention a learning curve, a feel that suits dealer-sized operations, and in some cases slow data migration, so ask about timescales and contract length before you sign.

PricingNot published; listed as a per-user model
Free trialCheck with vendor
Pricing modelPer user, quoted
Runs onCloud, with technician apps

Strengths

  • Mature, widely used UK system with deep reporting
  • Purchase orders, returns, vehicle health checks and courtesy car diary
  • Technician apps for the ramp
  • Autodata and Xero integrations listed by third parties

Watch out for

  • Per-user pricing means the cost climbs with every login you add
  • Learning curve; some users describe it as a system for dealer-sized workshops
  • Migration timescales and contract length are worth pinning down in writing

Verdict: a safe pick for a high-volume workshop with the staff to run it properly. A three-bay independent will usually get the same core outcomes from My Garage CRM at a flat price, with a trial and free migration.

4. Autowork Online (MAM Software)

Best for parts-heavy garages

Autowork Online is the cloud garage management system from MAM Software, a UK company whose roots are in parts cataloguing and business software for the motor factor trade. That heritage shows: stock control, supplier management, purchase orders and VAT returns are all core, and the parts side is as strong as anything in this comparison.

It also does well on recovering lost work. Its deferred-work feature chases customers about jobs they declined or postponed, and MAM's own figures put the recovered work at around £2,000 a month for the average garage using it. Automated SMS, an online MOT booking module, and electronic vehicle health checks and damage inspections through the TeamView app round it out. Pricing is modular and not published, so the headline figure grows with each module you add.

PricingNot published; quoted by module
Free trialNot listed
Pricing modelModular subscription
Runs onCloud, with the TeamView tablet app

Strengths

  • Excellent parts, stock, supplier and purchase-order handling
  • Deferred-work reminders that recover declined jobs
  • Online MOT booking module and electronic vehicle health checks
  • Established UK vendor with a long track record

Watch out for

  • Modules are priced separately, so compare the total for the modules you actually need
  • No published pricing or free trial
  • Interface feels older than the newer cloud systems

Verdict: the one to shortlist if parts and supplier ordering are the heart of your business. If the workshop and the customer are the heart of it, My Garage CRM covers parts, purchase orders and tyre sales on Professional without the per-module arithmetic.

5. GDS (Garage Data Systems)

Best for MOT centres and commercial vehicle workshops

GDS is a long-running UK garage management package aimed at garages, MOT centres and commercial vehicle workshops. It handles the daily workshop activity, creates invoices with accounts links to Sage, Xero and QuickBooks Online, connects to Haynes Pro E3 technical data and keeps workshop service records in order, with postcode lookup and a mobile app alongside.

It has a loyal base of workshops that have used it for years, and a separate commercial vehicle package for HGV, van and fleet operations, which is rare among independent-garage systems. Pricing is not clear on the vendor site: third-party listings show the workshop package from £99 to £149 a month, the commercial vehicle package at £299 a month and a £199 charge for data import, so confirm before you budget.

PricingThird-party listings: £99 to £149 a month (workshop), £299 (commercial vehicle), £199 data import

Pricing modelMonthly subscription by package
Runs onCloud, plus a mobile app

Strengths

  • Accounts links to Sage, Xero and QuickBooks Online
  • Haynes Pro E3 technical data
  • Dedicated commercial vehicle package
  • Long-established, with a loyal user base

Watch out for

  • Pricing is not clear on the vendor site and data import is charged
  • Traditional package feel compared with newer cloud systems
  • No AI tools or built-in call handling

Verdict: shortlist GDS if you run a commercial vehicle workshop or your accountant insists on a direct Sage or Xero link. For a car-focused MOT station, My Garage CRM's MOT checker, multi-stage reminders and free migration make it the quicker, cheaper route.

6. MotaSoft Virtual Garage Manager

Best for a simple diary, booking and reminders setup

MotaSoft has been supplying UK garages for well over a decade, and Virtual Garage Manager (VGM) is its straightforward take on garage management: a workshop diary, online booking, SMS and email messaging, reminders, job sheets, invoicing, reporting, data import and export, postcode and registration lookup, with setup included free. A sister product, Virtual MOT Manager, is aimed squarely at MOT stations taking bookings online.

If you want the basics done well without a large system, VGM deserves a look. It is lighter than the systems above on stock, purchasing, staff management and reporting, and it has no AI tools, so a garage that grows into those needs will eventually outgrow it.

PricingNot published; free setup
Free trialListed
Pricing modelMonthly subscription
Runs onCloud

Strengths

  • Simple, well-regarded diary, online booking and reminders
  • Free setup and a free trial
  • Registration and postcode lookup included
  • Virtual MOT Manager for MOT stations

Watch out for

  • Lighter on stock, purchase orders, staff rotas and reporting
  • Pricing not published
  • No AI receptionist or fault-finder

Verdict: a sensible choice for a very small garage that only wants a diary, bookings and reminders. Once you need parts stock, staff rotas or proper profit reporting, My Garage CRM Professional does all of it on one plan.

7. Dragon2000

Best for garages that also sell vehicles

Dragon2000 is a dealer management system with a workshop module rather than a workshop system with a sales module. Vehicle stock management, advertising feeds to the classified sites, dealer website integration and sales come first, and servicing and repair sit alongside. For a used car business with a workshop at the back, that is the right way round.

For a garage that services and repairs all day and sells the occasional car, it is the wrong way round. My Garage CRM's Enterprise plan includes a car sales CRM and car stock management on top of the full workshop system, which suits a garage where the ramps are the main business.

PricingNot published; quoted per business
Free trialCheck with vendor
Pricing modelDealer management system subscription

Strengths

  • Vehicle sales, stock and advertising feeds handled properly
  • Dealer website integration
  • Workshop and sales in one system

Watch out for

  • Sales-first design; the workshop side is not the main event
  • Pricing only by quote
  • More system than a service-and-repair garage needs

Verdict: choose Dragon2000 if you are a dealer first. Choose My Garage CRM Enterprise if you are a garage first and sell cars on the side.

What about the newer platforms? A wave of new cloud garage systems appeared during 2025 and 2026, among them AutoChain, Torq'd, WorkshopEase, Mechanics Hub, TorqueFlow and Autodots. Some look promising, and most publish a comparison that ranks themselves first, as we do. We have left them out of the ranking until they have a track record. If one tempts you, ask three questions: how long has it been trading, can you export every record at any time, and what happens to the reminders already scheduled if it closes.

The checklist

What the Best Garage Management Software Must Do in 2026

Use this as the test for any system on a demo. If a module only exists as a separate product, a bolt-on or a spreadsheet export, the chain is broken and that is where money and customers leak out.

Diary and booking

Bay-by-bay, technician-by-technician view of the day, with online or phone bookings landing in it as job cards rather than as notes to re-type.

Digital job cards

Every job holds the customer, vehicle, parts, labour and photos, updated at the ramp on a tablet or phone, and converts to an invoice in one click.

MOT management

Registration lookup for MOT expiry, pass, fail and advisory recording, and multi-stage reminders by SMS and email that fire without anyone remembering to send them.

VAT invoicing and payments

VAT-correct invoices with parts and labour pre-populated from the job, delivered by email or SMS with a card payment link, and automated reminders for overdue accounts.

Parts stock and purchase orders

Parts deduct from stock as they go on a job and land on the invoice automatically, with low-stock alerts and supplier purchase orders generated from what is needed.

Customer and vehicle CRM

Full service history per vehicle, several vehicles per customer, fleet accounts, GDPR consent tracking and the marketing tools to win lapsed customers back.

Staff, rotas and technician time

Rotas, holidays and hours booked against hours sold per technician, so you can see who is profitable and where the diary is losing time.

Reporting that updates itself

Revenue, profit, outstanding invoices, parts margin, MOT conversion and labour efficiency on one dashboard that moves as jobs are completed, with no spreadsheet export.

Beyond the eight essentials, the newer differentiators are the ones that save time nobody has: automated review requests after each job, deferred-work follow-ups, an AI receptionist that answers the phone and books the job while the team is under a car, and an AI fault-finder that shortens diagnosis. For a fuller breakdown of the core modules see our guide to garage management software and the blog post on what to look for when buying.

Match the system to the garage

Which Garage Management Software Is Best for Your Type of Garage?

The best system for a one-man MOT station is not the best system for a three-site group. Here is the honest shortlist for each kind of UK garage, including where a competitor is the better fit.

One or two-bay independent

You need the diary, job cards, MOT reminders and invoicing joined up, without paying for a stock room you do not have.

Our pick: My Garage CRM Starter at £139 a month. Also consider: MotaSoft VGM for the simplest possible setup.

MOT testing station

MOT expiry from a registration lookup, six-week and two-week reminders, and a clean route from a failure or advisory to a booked repair.

Our pick: My Garage CRM, any plan. Also consider: GDS if you also test commercial vehicles.

Three to ten bays with parts stock

Parts, purchase orders, staff rotas, technician efficiency and proper profit reporting, with several people logged in at once.

Our pick: My Garage CRM Professional at £265 a month with no per-user fees. Also consider: TechMan or Autowork Online.

Multi-site group

Each site with its own bays, hours, VAT number and staff, shared customer records and a group-level dashboard the owner can read on a phone.

Our pick: My Garage CRM Enterprise at £365 a month with additional sites included. Also consider: Garage Hive for a full accounting ledger.

Garage that also sells cars

Vehicle stock, enquiries and finance deals alongside prep jobs, PDI inspections and the everyday workshop.

Our pick: Dragon2000 if sales come first; My Garage CRM Enterprise if the workshop comes first.

Mobile mechanic

Raise a job, invoice the customer and take a card payment from the roadside on a phone, with every vehicle's history a search away.

Our pick: My Garage CRM Starter. Nothing else on this list is built for a business run from a van.

Dedicated guides: tyre garage software, fast-fit garage software, vehicle servicing software, CRM for MOT centres and paperless garage software.

Follow the money

What Garage Management Software Really Costs in the UK

The monthly figure on a pricing page is rarely what a garage pays. Six costs decide the real number, and only one of them is the headline price.

Per-user fees If a system charges per seat, multiply by everyone who needs a login: the owner, reception and every technician who updates job cards at the ramp. A flat plan with no seat fees is usually cheaper by the time the whole team is on it.
Setup and data import Some vendors charge for onboarding and for importing your existing customers and vehicles; GDS, for example, lists a £199 data import. My Garage CRM migrates your data free.
SMS messages MOT and service reminders by text are the feature that pays for the software, and texts cost money. Check what is included and what a top-up costs. My Garage CRM includes 150 reminder texts a month on Professional and 300 on Enterprise.
Technical data Autodata or Haynes Pro integrations usually mean a separate subscription to that data provider on top of the garage software. An AI fault-finder is a different approach to the same problem, included in the plan.
Contract length Annual or multi-year contracts lock in the price and the system. A monthly rolling plan, or a trial before any commitment, lets you leave if it does not work for the workshop.
Payment processing Card payment links are convenient but carry processing fees. Check the rate, and whether the vendor adds a platform fee on top of the card processor's.

For reference, a three-bay garage with four technicians and one person on reception runs on My Garage CRM Professional at £265 a month, or £186 a month billed yearly, with every login included, migration done free and 150 reminder texts a month in the plan. Full details on the pricing page. The blog post on parts that never get invoiced explains why the software usually pays for itself from stock alone.

Making the move

How to Switch Garage Management Software Without Losing Customers

Switching is the reason most garages stay on a system they have outgrown. Done in this order it takes a week and nobody misses a reminder.

  1. Export everything from the old systemCustomers, vehicles, MOT expiry dates, service history, open invoices and any scheduled reminders, as CSV files. If the old vendor makes this hard, that is a reason to leave in itself.
  2. Clean the data before it movesMerge duplicate customers, fix mistyped registrations and remove vehicles that have long since been sold. Ten minutes here saves months of wrong reminders.
  3. Import, or have the vendor do itSome vendors charge for import and some leave you to it. With My Garage CRM the migration is done for you free during the 28-day trial.
  4. Set the reminder rules before go-liveDecide the MOT and service reminder stages, typically six weeks and two weeks before expiry, and the message wording, so the first texts go out the day you switch.
  5. Run both systems for one weekBook live jobs in the new diary while the old one stays open for reference. Any gap in the data shows up immediately on real work.
  6. Switch off the old system and tell customersClose the old account, update your booking links and let regulars know the new route in. Our first 30 days guide covers what to do next.
Questions garages ask

Best Garage Management Software: Frequently Asked Questions

What is the best garage management software in the UK?

It depends on the size and shape of the garage. For most UK independents with one to ten bays, My Garage CRM is the best all-round choice: every module is included in a flat monthly plan with no per-user fees, and it is the only system in this comparison with a built-in AI receptionist and AI fault-finder.

Larger workshops that want a full accounting ledger inside the system should look at Garage Hive. Established high-volume workshops often choose TechMan. Parts-heavy garages suit Autowork Online, MOT centres and commercial vehicle workshops suit GDS, and garages that also sell vehicles suit Dragon2000.

How much does garage management software cost in the UK?

Published UK prices run from roughly £100 to £400 a month for a small or medium garage, and systems that charge per user cost more once technicians, reception and the owner all need logins. Watch for setup fees, data import charges, SMS bundles, technical data subscriptions and annual contracts.

My Garage CRM is £139, £265 or £365 a month depending on plan, or £97, £186 or £256 a month billed yearly, with migration included free.

Is there any free garage management software?

There is no serious free garage management system that handles MOT reminders, job cards, VAT invoicing and parts stock together. Free invoicing apps and spreadsheets exist, but they do not connect to each other, which is exactly where garages lose money. The realistic route is a free trial: My Garage CRM gives 28 days of full access with no credit card required.

What is the difference between garage management software and a garage CRM?

A garage CRM holds customer and vehicle records and handles communication such as MOT and service reminders. Garage management software runs the whole workshop: diary, job cards, estimates, invoicing, parts stock, purchase orders, staff rotas and reporting. The best modern systems combine both, so the customer record, the job and the invoice are the same data. See our car garage CRM page for the customer side in detail.

Do I need garage software for a one-person garage or mobile mechanic?

If you want automated MOT and service reminders, professional estimates and invoices, and a searchable history for every vehicle, yes. A browser-based system such as My Garage CRM works from a phone at the roadside, so a mobile mechanic can raise a job, invoice the customer and send a card payment link without an office. Our mobile mechanic case study shows how that works day to day.

Can I switch garage software without losing my customer data?

Yes. Export customers, vehicles, MOT dates and service history from your current system as CSV files, clean up duplicates and registrations, then import them or hand them to the new vendor. Some vendors charge for data import; My Garage CRM migrates your data free as part of the 28-day trial. The switching steps above cover the order to do it in.

Does garage management software send MOT reminders automatically?

Every system in this comparison can send MOT reminders. The differences are whether MOT expiry dates are pulled automatically from a DVLA lookup rather than typed in, whether you can set multi-stage reminders such as six weeks and two weeks before expiry, and how SMS messages are charged. Our guide to automated MOT reminders goes into the timing that works.

Is cloud or desktop garage software better?

Cloud, for almost every garage. A browser-based system runs on the counter PC, the technician's tablet and the owner's phone at the same time, backs itself up, updates without a visit and supports multiple sites. Desktop packages still exist but tie the business to one machine and make remote access and backups your problem.
