1. Acceptance of Terms
By accessing and using My Garage CRM Workshop Manager or My Garage CRM Commercial Vehicle Manager (collectively "the Services"), you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to abide by the above, please do not use this service.

2. Service Description
My Garage CRM provides comprehensive cloud-based automotive management systems designed to help service providers manage their operations efficiently. Our services include:
Workshop Manager Features:
- Customer and vehicle management with complete service history
- Job scheduling, tracking, and technician assignment
- Professional estimates and invoicing with VAT handling
- Inventory and supplier management with automated ordering
- MOT management with DVLA integration and automated reminders
- Digital Vehicle Health Check (eVHC) mobile applications
- Comprehensive reporting and business analytics
- Multi-site management capabilities
- Customer portal with online authorization
- Integration with accounting software (Sage™, Xero™, QuickBooks™)
Commercial Vehicle Manager Features:
- Commercial vehicle fleet management
- Compliance tracking for commercial regulations
- Specialized reporting for commercial operations
- Enhanced inventory management for commercial parts
Pricing Plans:
Lite Plan - £139/month: Essential features including estimates, invoicing, job management, reports, and basic integrations.
Advanced Plan - £265/month: Everything in Lite plus tablet access, digital check sheets, customer portal, and catalog integration.
Pro Plan - £365/month: Complete solution with paperless job cards, telephone integration, web booking, and on-site training.
3. Subscription & Payment Terms
Free Trial
We offer a 30-day free trial period for new customers. No credit card is required to start your trial. During the trial, you have access to all features of your selected plan.
Payment Terms
- Monthly subscriptions are billed in advance on the same day each month
- Annual subscriptions receive a 2-month discount (equivalent to 10 months pricing)
- All prices are quoted in British Pounds (GBP) and include VAT where applicable
- Payment is due within 30 days of invoice date
- Late payment may result in service suspension after 7 days notice
No Setup Costs
We do not charge setup fees. All plans include unlimited users and unlimited support.
Price Changes
We reserve the right to change pricing with 60 days written notice. Existing customers will be grandfathered at their current rate for 12 months from the date of notice.
4. User Responsibilities
Account Security
Users are responsible for:
- Maintaining the security and confidentiality of account credentials
- Immediately notifying us of any unauthorized access or security breaches
- Ensuring all users follow proper security protocols
- Regularly updating passwords and reviewing user access permissions
Data Management
- Ensuring accuracy of all data entered into the system
- Maintaining regular backups of critical business data
- Complying with GDPR and UK data protection regulations
- Obtaining proper consent for customer data processing
Fair Use Policy
Users agree to use the service reasonably and not to:
- Overload our servers with excessive API calls or data requests
- Attempt to reverse engineer or copy our software
- Use the service for illegal or unauthorized purposes
- Share account access with unauthorized third parties
⚠️ Important: Any violation of these responsibilities may result in account suspension or termination. We will provide notice and opportunity to remedy violations where possible.
5. Data Privacy & Security
Data Protection
We are committed to protecting your privacy and business data:
- All data is encrypted in transit using SSL/TLS protocols
- Data at rest is encrypted using AES-256 encryption
- Servers are hosted in secure UK data centers with 24/7 monitoring
- Regular security audits and penetration testing
- SOC 2 Type II compliance (in progress)
GDPR Compliance
We are fully compliant with GDPR and UK data protection regulations:
- Data Processing Agreements (DPA) available upon request
- Right to data portability and deletion
- Breach notification within 72 hours
- Regular data protection impact assessments
- Designated Data Protection Officer available
Data Retention
We retain customer data for the duration of the subscription plus 90 days for account recovery. After this period, data is permanently deleted unless legal obligations require longer retention.
6. Service Availability
Uptime Commitment
We strive to maintain 99.9% uptime, measured monthly. This excludes:
- Scheduled maintenance (announced 48 hours in advance)
- Emergency maintenance for security or stability
- Third-party service outages beyond our control
- Network connectivity issues at customer premises
Disaster Recovery
We maintain comprehensive disaster recovery procedures:
- Real-time data replication across multiple data centers
- Daily automated backups retained for 90 days
- Recovery Time Objective (RTO) of 4 hours
- Recovery Point Objective (RPO) of 1 hour
Service Credits
If we fail to meet our 99.9% uptime commitment, affected customers may be eligible for service credits equivalent to the prorated monthly fee for the downtime period.
7. Intellectual Property
Our Rights
My Garage CRM retains all rights to:
- The software, including source code, algorithms, and user interface
- Our trademarks, logos, and brand materials
- Documentation, training materials, and methodologies
- Improvements and enhancements to the service
Your Rights
You retain ownership of:
- All customer data and business information entered into the system
- Your business processes and workflows
- Any customizations or configurations you create
License Grant
We grant you a non-exclusive, non-transferable license to use our software for the duration of your subscription, subject to these terms.
8. Limitation of Liability
Liability Limitations
To the maximum extent permitted by law, My Garage CRM's liability is limited to:
- The total amount paid by you in the 12 months preceding the claim
- Direct damages only (no indirect, incidental, or consequential damages)
- Actual damages suffered (no punitive damages)
Exclusions
We are not liable for:
- Data loss due to user error or negligence
- Business interruption or lost profits
- Third-party integrations or services
- Force majeure events beyond our reasonable control
⚠️ Important: Some jurisdictions do not allow limitation of liability for certain types of damages. In such cases, our liability is limited to the maximum extent permitted by law.
9. Termination
Termination by You
You may terminate your subscription at any time with 30 days written notice. Upon termination:
- You retain access to the service until the end of your billing period
- No refunds for partial months (except for our failure to provide service)
- Data export tools remain available for 90 days
- After 90 days, all data is permanently deleted
Termination by Us
We may terminate service for:
- Non-payment after 30 days notice
- Violation of these terms after opportunity to cure
- Illegal use of the service
- Excessive resource usage that affects other customers
Data Retrieval
Upon termination, we will provide data export in standard formats (CSV, PDF, XML) for 90 days. After this period, data is permanently deleted and cannot be recovered.
10. Support & Updates
Support Levels
- Lite Plan: Email support during UK business hours (9 AM - 5 PM GMT)
- Advanced Plan: Email and phone support during extended hours (8 AM - 8 PM GMT)
- Pro Plan: Priority support with dedicated account manager and on-site training
Software Updates
We regularly update the software to:
- Add new features and functionality
- Improve security and performance
- Fix bugs and resolve issues
- Ensure compliance with regulations
Training & Documentation
We provide:
- Comprehensive online documentation and video tutorials
- Webinar training sessions
- On-site training for Pro plan customers
- User community forums and knowledge base
11. Compliance & Legal
Regulatory Compliance
Our software helps you comply with:
- UK automotive regulations and MOT requirements
- GDPR and data protection laws
- VAT regulations and reporting requirements
- Health and safety documentation requirements
Governing Law
These terms are governed by English law and subject to the exclusive jurisdiction of the English courts.
Dispute Resolution
We prefer to resolve disputes through direct negotiation. If that fails, disputes will be resolved through binding arbitration under the rules of the London Court of International Arbitration.
